Stainless steel pendants would be separate from base metals, knotted pearls from wire wrapped necklaces…that sort of thing. As for photographs, I name the files by item and then organize them by month. Or whatever default “time” setting is on my computer. While I am very organized, it’s easier for me to keep all jewelry photographs in one folder by status. Sold, damaged/re-wrap, etc. I don’t separate items for easy of comparison and memory. Having all unsold photos in one folder by date helps me remember specifics about things I made.

I am very simple and it works great for me. I name my collections in their own folder. For example, I’ll name this folder, “male leather bracelet no stone”, and another named, “male leather bracelet with stone”. Then inside of those folders, I have my collections pf the sort. But after reading this question I was thinking about a project I have been planning and that is to arrange a photo book to promote my jewelry that could be left at the beauty salon or elsewhere.

I think that I would organize it by color, the same way I organize my jewelry display for shows. Although I have tried various organizations, this is the one I like best. I have a couple sets of gift boxes that I got at Costco years ago that all stack inside each other from 3″x3″x3″ to about 16″x16″x16″, that are different colors. One set is in all primary colors while the other set is in ‘spring’ colors. I separate the boxes and stack “artfully” by color and then arrange my jewelry more or less into the same colors. I throw in a few scarves to soften the lines, place a jewelry easel or other display type piece on top of the stack of boxes to showcase one piece in that color group. I make mostly sets so I display the boxed sets around the matching stack of boxes.

I find that people are usually really drawn to a few particular colors and this setup displays all my jewelry of the same color group together. It makes a huge statement.

I have a small printed materials worksheet (4 on an 8.5 x 11 sheet of paper) where I track the item #, date, type and cost of the materials that went into the piece. That item# goes everywhere – on the photo, the price tag, the website, my inventory spreadsheet, my sales spreadsheet. If I remake a piece (a lot of my work is one-of-a-kind), I give it the same item # so that I can track how many times I have sold that piece.

But, I also have a sub folder in each of these categories for best sellers. The best seller pictures are in both files. The best seller file helps to remind me of the pieces that I need to remake for restocking. When/if a best seller is no longer a best seller I delete the picture from the best seller file, but keep the original in the master files.

My finished pieces, particularly earrings, are subdivided by style (Christmas theme, other colors in the same design) and a few are further subdivided by color.

This is just works for me:

I organize my actual jewelry pieces by type (pendants, bracelets, etc.), and then by color (green pendants, turquoise pendants, etc.).

I organize my photos by date.
